A WhatsApp number that actually gets used fills up with a mix of serious buyers, price-checkers, and people who tapped an ad by accident. The work is not answering all of them — it is telling them apart in the first minute and getting the serious ones to the right person while they are still typing. Qualification and routing are one job, not two. The questions you ask exist to decide who handles the thread and what it is worth — nothing else. Any question that changes neither is a question you can drop.

The handful of questions that decide everything

Most businesses need four or five answers, and they are always the same shape: what the person wants, where they are, when they need it, and roughly what scale they are working at. A dental clinic needs treatment, branch, and urgency. A software reseller needs company size, current system, and timeline. A furniture shop needs the room, the delivery city, and whether the customer is buying now or in six months.

  1. Intent — which service or product, in the customer's own words.
  2. Location — the branch, city, or country that decides who owns the thread.
  3. Timing — this week, this quarter, or someday; the single best predictor of whether a lead closes.
  4. Scale or budget — headcount, quantity, or a price range, asked as a range rather than an exact figure.
  5. Language — which language the customer writes in, so the reply comes from someone who speaks it.

Ask like a person, not a form

The fastest way to lose a lead is to open with five questions in a row. There is a point where qualification costs more leads than it saves time. Asking a stranger for a budget before telling them anything useful, demanding an email address to continue, or running eight questions before a human appears — each of these quietly pushes people out of the thread. Collect the minimum that lets you route correctly, and let the rep gather the rest once there is a reason to keep talking.
