The question comes up in every migration and the answer disappoints: your existing conversations do not travel into a business platform account. Why history does not move

Consumer WhatsApp is end-to-end encrypted and the messages live on the device, backed up to a personal cloud account. The business platform is a different system with a different architecture; a migrated number arrives with a working connection and an empty history.

This is not a limitation any CRM can engineer around. It is a consequence of how the consumer app is built, and any vendor promising to import your WhatsApp history wholesale is describing something that does not exist.

What you actually need to keep

The good news is that almost nobody needs the threads. What they need is the information inside them, and that is a much smaller and more useful set.

  1. The contact list: names and numbers, in international format, ready to import.
  2. What each customer bought, and roughly when.
  3. Anything you promised: a discount agreed, a warranty extension, a callback in March.
  4. Preferences and constraints worth remembering — the allergy, the access code, the delivery instruction, the fact that they only answer after six.
  5. Photographs of past work, which are frequently the most valuable thing on the phone.

Keep the old phone readable

If you are migrating an existing number, as decided in choosing the number your business will live on, the consumer app on that number will stop working — but exports taken beforehand remain readable. WhatsApp lets you export a conversation, and doing that for your twenty most important customers before you migrate takes half an hour and removes most of the anxiety.

Do not export everything

There is a temptation to archive years of conversations wholesale, on the basis that storage is cheap. Resist it. Those threads contain personal data you have no ongoing reason to hold, quite possibly including messages with people who are not customers at all if the number was ever personal.

Keeping data you cannot justify is a liability rather than an asset, and a deletion request against an archive nobody has catalogued is a genuinely unpleasant afternoon.

The first conversation rebuilds it anyway

In practice the history gap closes faster than expected. Within a few weeks most active customers have messaged again, and each of those conversations lands on a proper contact record with everything recorded from that point on.

What you lose is the ability to scroll back to 2023. What you gain is that from now on the history is on a record the whole team can see, rather than on one person's phone — and that is precisely the problem the migration was meant to solve.

Prioritise by who is active

You do not need to capture every customer from five years of chats. Sort by who has messaged in the last twelve months and start there — for most businesses that is a fraction of the total and covers nearly all of the value.

Older contacts can be added in a second pass, or left until they get in touch again, at which point you can fill in the record properly during the conversation. Trying to reconstruct everything before launch is how a migration becomes a project that never finishes — the import belongs in week one of a 30-day rollout plan for a chat CRM, not in a month of preparation.

Tell customers, briefly

Customers do not need an explanation of platform architecture, but a short note prevents confusion: you have moved to a business account, the number is the same, and the team can now see their messages rather than one person. That last part is a benefit worth stating — it is why replies will be faster from now on.
