Appointment Reminders on WhatsApp, Where They Actually Get Read

Most no-shows are not bad customers. They are people who forgot, and whose reminder never reached them. The appointment was made three weeks ago, the day got busy, and the one message that could have saved the slot was sitting in an email inbox nobody opens. Why email reminders get ignored

Email reminders land in the same place as newsletters, receipts and promotions. They get buried, sorted into a promotions tab, or end up in spam. Even when they are seen, an email is a dead end: to cancel or move the appointment, the customer has to find a link, log in somewhere, or call. Most people do nothing, and the slot stays blocked until it is too late to fill. A reminder that can be answered

A WhatsApp reminder arrives in the same chat the customer used to book. It gets opened, and it can be answered. "Running late", "can we do 5 instead of 4?", "I need to cancel" all come straight back to your inbox, where the AI or your team act on them right away. The AI can move or cancel the booking in the chat, and a freed slot can go to someone else. When, to whom, and what it says

  • When: before the appointment, at 15 minutes, 30 minutes, 1 hour, 2 hours, 1 day, 2 days, 1 week, or any time you set, and at key moments such as booked, confirmed, cancelled, moved, no-show and completed.
  • To whom: the customer, the staff member who is doing the appointment, or everyone in a group session such as a class or workshop.
  • What it says: your own wording, with a different version per service if you like. The service, time, person and price are filled in automatically, along with the links to cancel, move or view the booking, and the video link when the appointment is a video call.
  • Sensible by default: cancelled bookings stop their reminders on their own, except the cancellation notice itself. Reminders belong to bookings made through your services, so a blocked lunch hour never sends anyone a message.

The self-service links matter as much as the timing. A customer who reads "tomorrow at 16:30 with Sara" and realises it does not work taps the link, moves the appointment within your rules, and never has to log in or wait for opening hours. A reminder in practice

Lena booked a colour treatment with Sara for Thursday at 16:30. On Wednesday at 16:30 her WhatsApp shows: "Hi Lena, a reminder for tomorrow at 16:30, colour treatment with Sara, 95 euros. Reply here if anything changes, or use this link to move or cancel." Two hours before the appointment, a shorter one follows. If Lena writes "I'm running ten minutes late", the message lands in the inbox and the AI or a colleague answers "no problem, see you at 16:40". If she cancels through the link, the slot opens in the calendar, her remaining reminders stop, and the cancellation notice is the last message she gets about that booking. Sara, meanwhile, gets her own reminder if you choose to send them to staff as well.

Reminders, deposits and the honest no-show number

A reminder that gets read solves the forgetting. A deposit solves the other half, the appointment the customer never quite committed to. WhatsApp's rules, handled for you

WhatsApp lets a business write freely only within 24 hours of the customer's last message. After that, only messages WhatsApp has approved in advance are allowed. A reminder sent the day before an appointment usually lands outside that window, so this rule is part of every reminder setup.
