WhatsApp Campaigns and Approved Templates, Without Risking Your Number

Updated September 11, 2026 · 6 min read

A new stylist has joined, the winter treatment is back, or you are closed for two weeks in August. On WhatsApp, telling everyone at once is possible, but only within WhatsApp's rules: an approved message, sent only to people who agreed to hear from you, at a pace your number can carry. Convelly's campaigns are built around those rules rather than around them. You choose who receives the message, Convelly checks permission before anything goes out, spreads a large campaign over several days if needed, and shows you for every single person whether the message was sent, delivered or read. The guide on WhatsApp marketing campaigns that people actually read explains why this discipline is what keeps a business number alive.

Permission first

Each customer's marketing permission for WhatsApp and for email is stored on their record, together with when and how it was given. If someone replies "STOP" or taps WhatsApp's "stop promotions" button, Convelly records it on its own and stops marketing to them. When you build a campaign, people who opted out, are blocked, or cannot be reached are left out automatically, and you see why before you send. That record is what WhatsApp opt-in and consent: what you need before you send describes, and it lives in your customer list rather than in a separate marketing tool.

Approved messages, built inside Convelly

WhatsApp requires businesses to get certain messages approved in advance: anything sent more than 24 hours after the customer's last message, and all marketing. Convelly makes that painless. You build the message in Convelly: choose the type (marketing, service, or verification code), the language, a header (text, image, video or document), the text, a footer, and up to ten buttons such as quick answers, links, a phone number, or a copy-code button for a discount code. Personal details fill themselves in, such as the customer's name, appointment details, or anything from the customer's record, with a fallback for when a detail is empty. Then send it to WhatsApp for approval from inside Convelly and follow its status and quality rating there. Folders keep everything organised. The guide on WhatsApp message templates: rules, categories and approval explains what gets approved and what does not.

Quick replies are the everyday counterpart: your standard answers, with an attachment, one click away in the message box for any channel. Ask Elly which messages were used most and you get the answer without building a report.

Choosing who gets it

A campaign goes to everyone you may message, to customers with certain tags, or to a list you pick by hand. Tags are how you shape an audience in Convelly: colour-coded, added one by one or to many customers at once, and set during an import if you are bringing a list from a spreadsheet. A campaign for "everyone tagged Colour who has not booked since spring" starts with the tags and the filters on the customer list. The guide on segmenting your audience for better WhatsApp campaigns shows which splits are worth the effort for a small business.

Send now or schedule, and protect your number

Send now, or schedule for a date and time in your timezone. A large campaign can be spread over several days automatically, so WhatsApp does not limit your account. That matters because WhatsApp watches how many people a number messages per day and how they react, and it lowers a number's quality rating and daily limit when too many people block or report it. Convelly shows your number's quality rating, how many people you may message per day and whether the connection is fine, and alerts admins if anything changes. Avoiding WhatsApp bans: quality rating and best practices and messaging limits and how to climb the tiers explain the mechanics, and the guide on what WhatsApp messaging costs and where the limits bite puts the whole picture together.

Watch it happen, person by person

Once a campaign is running, you see for every recipient whether the message is waiting, sent, delivered, read, failed or skipped, with the reason in plain words. Results are a simple funnel: sent, delivered, read. From the list you can open any recipient's chat, start an AI follow-up for someone who read the message but did not answer, or copy their number. Pause, resume or cancel at any time. What to make of those numbers, and which ones to ignore, is the subject of measuring WhatsApp campaign performance.

A campaign in practice

Say the winter treatment is back and you want the customers who booked it last year to hear first. Tag them "Winter treatment" on the customer list, in one go, then build a marketing message with an image header, the customer's first name filled in, a line about the offer and two buttons: "Book now", linking to your booking page, and a quick answer such as "Tell me more". Submit it for approval from inside Convelly. Once it is approved, pick the tag as the audience, check the list of people who will be left out and why, and schedule it for Tuesday at 10:00. During the day the campaign screen shows who has received and read it. Someone taps "Tell me more", and the AI answers in the thread with the price and a free slot. Someone else reads it and goes quiet, so you start a follow-up from the campaign list with the goal "book the winter treatment".

When a reply comes back

A campaign message is a normal WhatsApp message to the customer, so replies land in your inbox like any other conversation. From there the AI can answer, book the appointment the offer was about, or hand over to a person. Because the campaign was sent from the same system as your bookings and deals, a reply to "the winter treatment is back" can turn into a booking in the same thread, and a customer who asks a question gets an answer from an AI that knows their history.

Campaigns, reminders and follow-ups: which one when

  • Campaigns are one approved message to many people who agreed to hear from you: an opening, an offer, a closure.
  • Reminders are tied to a booking and go out at fixed times before or after it, to the people involved in that appointment.
  • AI follow-ups are a personal series to one person with a goal, written fresh for each message, and they stop the moment the person replies.

Campaigns are for WhatsApp. Instagram does not allow a business to start a conversation, so Instagram customers hear from you when they write first, or through your posts and stories.

What it costs

Campaigns are part of Convelly's plans, and the approved messages you send are charged by WhatsApp according to their category, which is why marketing and service messages are approved separately. Plans and included limits are on the pricing page.

Frequently asked questions

Can I send a WhatsApp broadcast to all my customers?

You can send an approved message to everyone you may message, to customers with certain tags, or to a hand-picked list. People who opted out, are blocked or cannot be reached are left out automatically, and Convelly shows you why before you send.

Do I need an approved template for a campaign?

Yes. WhatsApp requires approval for all marketing messages and for anything sent more than 24 hours after the customer's last message. You build the message in Convelly, submit it to WhatsApp from there, and follow its status and quality rating in the same place.

What happens when a customer replies STOP?

Convelly records the opt-out on the customer's record on its own and stops marketing to them. The same happens when someone taps WhatsApp's "stop promotions" button. Their permission, and when and how it changed, stays visible on the record.

Can I schedule a campaign?

Yes. Send now, or schedule for a date and time in your timezone. A large campaign can also be spread over several days automatically so that WhatsApp does not limit your account. You can pause, resume or cancel at any time.

Will a big campaign get my number blocked?

Convelly spreads large campaigns over several days automatically and only sends to people who agreed to hear from you, which is what protects a number. You can watch your quality rating and daily limit in Convelly, and admins are alerted if either changes.

Can I see who read the message?

Yes. For every recipient you see whether the message is waiting, sent, delivered, read, failed or skipped, with the reason. Results show as a funnel of sent, delivered and read, and you can open any recipient's chat or start a follow-up from the list.
